The short answer: set up a POS by getting your product list and prices in first, adding your stock counts, connecting your hardware, setting up staff and permissions, testing a few sales, then going live — ideally at a quiet time. Most POS pain comes from skipping the preparation and improvising on day one.
Step 1: Prepare your product data
Your product list is the foundation. Enter (or import) each product with its price, cost, and barcode. Getting cost in from the start means your profit reporting works immediately. For variant-heavy shops, set up variants properly now.
Step 2: Enter opening stock
Add your current stock counts so inventory is accurate from day one. A quick stocktake as you set up doubles as your opening balance.
Step 3: Connect hardware
- Set up the device (phone, tablet or terminal).
- Pair your receipt/label printer and scanner.
- Test a receipt print and a barcode scan.
Step 4: Set up staff and permissions
Create a login for each staff member and give cashiers only the access they need — sell, but not change prices or see sensitive reports. This protects you and clarifies accountability.
Step 5: Test, then go live
- Ring up several test sales — cash, card, a refund, a discount.
- Check stock reduced and the sale appears in reports.
- Train staff on the few things they do most.
- Go live at a quiet time so the first real day is calm.
