The short answer: instead of counting everything once a year, cycle count: count a few categories every week so the whole shop is covered every few months. Count before you open, check expensive and frequently stolen items most often, and only investigate big differences.
How cycle counting works
Split your products into groups — by category, aisle or supplier. Each week, count one or two groups. A shop with a dozen groups covers everything roughly every three months, and no single count takes more than an hour or two.
Four habits that make it fast
- Count before opening so nothing sells halfway through the count.
- High-value first. Phones, accessories, cosmetics — the expensive and easily pocketed lines — get counted most often.
- Count with a scanner or phone rather than paper, so counts go straight into the system.
- Chase the big gaps only. One missing low-cost item isn’t worth an hour; twelve missing phone cases is.
What to do with differences
Record every adjustment with a reason (damaged, theft, receiving error). Over time the reasons show you where stock is really going.
